    Policy on inappropriate behaviour

    DUO activities are carried out by staff and (volunteer) mentors. Our inappropriate behaviour policy is designed to ensure that this is achieved in a pleasant, personal and confidential manner in the safest possible environment. This summarises the agreements on how to deal with each other. Our association’s policy on undesirable behaviour has to offer protection to both mentees and (voluntary) mentors.

    DUO for a JOB, whose head office is established at Rue de Stassart 48 box 4 1050 Ixelles, Belgium, commits to respect your privacy when processing your personal data in accordance with the provisions of European data protection legislation, i.e. Regulation (GDPR) EU 2018/1725.

    I. Introduction

    This online Privacy Policy is provided to explain the online information practices of DUO for a JOB and the choices you can make about the way that data – which directly or indirectly identifies you (“personal data”) – is collected and used on our website www.duoforajob.be and through  individual interviews.

    For the purpose of the General Data Protection Regulation (the “GDPR”), we are the data controller and we use your personal data only in accordance with the following principles and in compliance with applicable data protection laws including the GDPR.

    GDPR is the new European data protection reference and aims at reinforcing the framework and practices concerning the collection and use of personal data. The rules of GDPR replace regulation 95/46/EU and apply as of May 25, 2018, to all public and private companies active in an EU member state. More particularly, organizations that :

    • Offer goods & services on the (unified) EU market
    • Collect and process data of EU citizens

    Be aware that the regulation also applies to companies not established in the EU from the moment they collect and process personal data of EU citizens.

    The GDPR rules and obligations apply to the processing-whether or not automatically- of personal data, i.e. all information relating to an identified or identifiable person. An identifiable person is any person who can be identified directly or indirectly by reference to identification, such as name, number, location, online identification, or to more specific characteristics of physical, physiological, genetic, psychological, economic, cultural, or social identity.

    Data processing as defined by GDPR refers to the collection, access to, storage, manipulation, destruction and consultation of data. Please read this policy carefully so that you understand your rights in relation to your personal data, and how we will process them.

    Please take a few minutes to consult this Privacy Policy before using this website. By using this website, you are consenting, to the extent permissible under applicable law, to the collection and use of your information as set forth in this Privacy Policy.

    III. What information and how do we collect?

    A. Data which you communicate to us

    The personal data collected at organisational level are the following:

    1. The information given by the user in the online forms allows them to be identified and contacted in a personalized way. Depending on the situation and subject to the consent of the person concerned, DUO for a JOB collects and saves the following data :
    • First name and last name
    • Contact information (telephone number, email address, social media handle)
    • Gender
    • Date of birth
    • Spoken languages
    • Location
    • And the results of any questionnaire(s) that you agree to respond to.

    In addition, personal data you might share as part of an application for employment through the Job section includes:

    • Company Name
    • Contact information
    • Work experience
    • Educational qualifications
    • Images / Photos
    • Bank account number
    • And any information you choose to submit

    This data is collected when the user performs one of the following operations on the site:

    • Enrolling in the program
    • Apply for a job
    • Make a donation on the site

    Additional personal data from mentee are also collected after sending ID card/ resident permit by email/Whatsapp. After the ID data has been encoded in our database, the ID photo is deleted. If the ID is sent to Whatsapp, it is also deleted from the phone. This information is no longer saved in the phone after it has been encoded.

    1. The technical characteristics of the means of connection to the website which are data automatically collected 

    In general, when you visit the site we only incidentally collect such information as your IP address and/or information about your browser or computing device and the internet page last visited that enables us to provide you with access to the site and appropriate content. There are pages, however, on which you need to provide additional personal data to register, contact us, or request news and updates.

    Certain data are collected via cookies. Check ‘VIII. Cookies Charter’ for our cookie policy. In addition, certain data may be collected which are not stored in cookies. They can only be seen by DUO for a JOB’s digital team and only during your visit to the website.

    B. With respect to a donation

    When you make a donation to DUO for a JOB via the website or by filling in a one-off or recurrent donation form, your data are included in a databank aimed at managing our relationship with our donors. If you make a donation your data are included in our database in order to thank you and keep you informed of our activities, to invite you to make a further donation (one-off or monthly donations, legacies,…)

    Your data may in exceptional circumstances also be used for our fundraising activities (such as a call for urgent support). 

    C. Newsletter 

    Visitors to the website can register to receive a newsletter. The data that visitors enter for this are included in a database used to send you newsletters. If you complete your date of birth (no obligation) you also receive an email on your birthday to wish you a happy birthday.

    You can subscribe to our mailing list to receive updates about our work and give your consent to be notified of the latest information about DUO for a JOB activities. 

    We use Mailchimp as a third party email platform to share insights. When you subscribe to our mailing lists we ask you for your name, contact details and your area of work. Mailchimp has its own security and privacy policy. Mailchimp uses email tracking. Email tracking tells us when you opened an email and what links you clicked on. We use this information to improve our communications, and include general information such as open and click-through rates to inform communications planning and reporting.

    You can opt out of our mailing list if you choose the ‘unsubscribe’ service provided by MailChimp in every email, or contact us at web@duoforajob.be.

    IV. Why will we use your data ?

    As it is in our legitimate interests to be responsive to you and to ensure the proper functioning of our program and organization, we will use your information to:

    • Ensure the most qualitative “match” between mentees and mentors while creating a duo.
    • Have a more efficient communication between DUO for a JOB members
    • Statistical consolidations of data for our reporting activities (annual report, thematic report, advocacy actions, etc)
    • Evaluation purposes of the program quality
    • Evaluate potential new mentees and mentors
    • Evaluate candidates for our job and volunteerings offers
    • Provide requested information about our organization

    With your consent, we will use your personal data to send you information that we think will be relevant to you, including newsletters and practical information. You may revoke this consent at any time by using any such provided “unsubscribe” link or by contacting us at web@duoforajob.be

    V. How long do we keep your data ?

    Data of those who have not consented to the storage of the data for other purposes than responding to their specific question are kept only for as long as required to answer the question. This can be for 30-60 days for requests for information, didactic materials, purchases, stand-alone gifts or participation in an action.

    Data of people who have indicated an interest in the actions, activities and future campaigns of DUO for a JOB, and those involved in gifts are stored in conformity with art 5 of the GDPR regulation, i.e. for the period corresponding to the intended objective or until consent is explicitly withdrawn by the person concerned.

    We store the information we collect about you for as long as is necessary for the purpose(s) for which we collected it and in accordance with applicable law and legitimate business interests.

    When assessing the data retention period, we take into account the amount, nature, and sensitivity of the information, the potential risk of harm from unauthorized use or disclosure of the information, the purposes for which we process the data and whether we can achieve those purposes through other means, and the applicable legal requirements.

    After the end of mentorship period, there is a follow-up of the mentee’s professional development of 12 months. During this period, all personal data are retained.  

    In order to produce annual reports and statistics, personal information will be anonymized and kept for a period of 15 years. Once this period is over, a data cleaning process will be put in place to remove all unused data.

    We strive to keep our records accurate and will make appropriate corrections when you notify us. Please let us know if there is incorrect information in any statements or other communications that you receive from us. If you would like to correct or update your personal information, please contact us using the relevant contact mentioned in the following section.

    VI. What are your data protection rights?

    As a data subject under the General Data Protection Regulation, you have the following rights with regards to your personal information:

    • Access : Subject to certain exceptions, you have the right to request a copy of the personal information we are processing about you, which we will provide to you in electronic form.
    • Rectification: You have the right to require that any incomplete or inaccurate personal information that we process about you is amended or corrected.
    • Deletion: In certain circumstances, you have the right to request that we delete personal information that we process about you.
    • Restriction: You have the right to request that we restrict our processing of your personal information where:
      • you believe such information to be inaccurate
      • our processing is unlawful but you oppose the deletion of your personal information
      • we no longer need to process such information for a particular purpose, but where we are not able to delete the data due to a legal or other obligation or because we require the information in connection with legal claims
      • you have objected to the processing of your personal information.
    • Portability: You have the right to request that we transmit the personal information we hold in respect of you to another data controller, where this is:
      • personal information which you have provided to us
      • the processing is by automated means
      • we are processing that information on the basis of your consent. 
    • Objection: Where the legal justification for our processing of your personal information is our legitimate interest, you have the right to opposite to such processing on grounds relating to your particular situation. We will abide by your request unless we have compelling legitimate grounds for the processing which override your interests and rights, or if we need to continue to process the data for the establishment.
    • Withdrawing Consent: If we rely on your consent to process your personal information, you have the right to withdraw your consent at any time from our website.

    VII. Who is the data controller and what are his obligations?

    The data controller is responsible for determining the purposes and the means used for the processing of personal data. He is the person responsible for processing personal data and he can be contacted by email at web@duoforajob.be

    The data controller undertakes to protect the personal data collected, not to transmit them to third parties without the user having been informed thereof and to respect the purposes for which this data was collected.

    The website has an SSL certificate to ensure that the information and the transfer of data passing through the site are secure.

    An SSL certificate (“Secure Socket Layer” Certificate) is intended to secure the data exchanged between the user and the site.

    In addition, the data controller undertakes to notify the user in the event of rectification or deletion of data, unless this entails disproportionate formalities, costs and procedures for him.     What is the status of DUO for a JOB? icon

    DUO for a JOB is a non-profit association under the French law of 1901 created in 2012 in Belgium and implemented in France since 2019. As our programme is completely free of charge for our participants, the support of public and private financial partners is a sine qua non condition for our existence.

    What is the purpose of DUO for a JOB? icon

    DUO for a JOB is an association that connects young people with an immigrant background actively seeking employment with people over 50, so that the latter can support them in their process.

    Through this intergenerational mentoring, DUO for a JOB wants to contribute to ensure the same access to employment opportunities.

    Where do duos meet? icon

    Duos have premises equipped with computers connected to the Internet and printers at their disposal. But it is also possible that you meet in a coffee shop, for example, if this can facilitate your meetings.

    I am looking for a job

    What are the criteria to become a mentee? icon

    To be eligible for the programme, you must :

    • Be between 18 and 33 years old
    • Have a non-EU nationality OR be Nederland with an immigration background (at least a parent or grandparent was born outside of EU)
    • Be able to express yourself in English or Dutch
    • Have a valid French resident permit (temporary resident permits < 6 months are not taken into account)

    What does the mentor expect from me? icon

    The mentor is there to help you and to provide you with the necessary tools for your job search. His/her role is not to get you a job. He/She therefore expects you to be motivated and to give yourself the opportunity of finding a job.

    How long does take to find a mentor? icon

    After the information session, one of the association’s coordinators will sit down with you to discuss your background, your expectations and your personality. Following this interview, you will be “matched” by the association with the mentor who best suits you! Subject to your availability, you will meet for the first time and should you wish to continue the adventure together, you will start your duo! These steps generally take between 15 days and 1 month.

    What if I don’t get along with my mentor? icon

    If a conflict arises during the mentoring or you feel uneasy in your duo, feel free to contact your coordinator and tell him/her. We will then try to find a solution so that everything goes as smoothly as possible. However, if you still do ot get along, we will put an end to your duo and we will find a mentor with whom an agreement is possible.

    Is it a paid service? icon

    No fee is required, whether it is for the registration or participation in the programme.

    I am already a mentee

    What happens if I find a job before the end of the mentoring? icon

    🎊 If you believe you no longer need to be followed by your mentor once you have found a job, you can always end to the programme. However, we recommend that you continue to keep in touch in case you have questions about your new job.

    What happens if I do not find a job at the end of the 6 months? icon

    Not finding a job at the end of the six months is not necessarily negative! One mentee in three is still looking for work after counselling, but only one in four is still looking after 12 months.

    A large number of the duos stay in contact after the six month duration of the duo. Thanks to the strong bond between the mentee and the mentor, many continue to meet outside the association and continue to search actively.

    The goal is for you to become autonomous in your job search and for you to have a better idea of your professional desires and your skills.

    Can I subscribe again for a second coaching? icon

    In order to give a chance to everyone to participate in this free individual coaching, you can only subscribe once.

    I want to become a mentor

    What are the criteria to become a mentor? icon

    To become a mentor, you:

    • Are 50+
    • Are available 2 to 3 hours per week
    • Have a professional experience to capitalise on

    Why would I want to be a mentor? icon
    • To share and transmit your professional experience.
    • Develop new social skills through a programme of continuous training.
    • Live a unique and rewarding human experience.
    • Sign up for a voluntary action of active citizenship.
    • Integrate an active network of mentors.
    How does it work concretely? icon

    Following your participation in a group online ou face-to-face [information session], you will have an individual meeting with a coordinator from the association so that we can get to know you better and define your profile and expectations. This exchange will also allow us to answer any questions you may have about mentoring.

    You will then be invited to an online training course where you will be introduced to the methodology of DUO for a JOB and where we will present the mentees’ socio-economic reality and you will also be trained be aware of the key qualities that our mentors must demonstrate.

    As soon as a mentee matches your profile, you will be contacted to start your first duo!

    A DUO for a JOB coordinator will be present during your first meeting and will support your duo throughout the 6 months.

    Am I qualified to become a mentor? icon

    No coaching experience is required.

    Training is organised so that you are equipped with all the necessary tools to p mentor the mentee in his/her job search properly.

    Workshops will also be proposed throughout your mentoring period and you will have the opportunity to meet other mentors every two months. These intervisions will allow you to share your experience and seek advice from your fellow mentors!

    Is there a minimum study level required to become a mentor? icon

    We do not target a specific study level. The key is that the mentor has professional experience to highlight and share.

    What if I’m not retired? icon

    One of the conditions to become a mentor is to be 50 years old or over.

    Being retired is not an obligation as long as you have some time to dedicate to your mentee.

    Is the mentor always in the same sector of activity as the job seeker? icon

    Where possible, the mentor has worked in the same sector of activity as the mentee However, the sector is not the only criterion taken into account. Indeed, when matching we also take into account both personality and interests.

    What does the mentee expect from me? icon

    Each mentee is different, His/her needs and expectations are therefore not always the same.

    In general, he/she does not always have the necessary tools for their job search. Therefore, the mentee expects you to help define his/her professional desires and identify their skills, to write a CV and motivation letter or to search for job opportunities together.

    It is a team effort.

    How many mentees should I accompany? icon

    You accompany a young person for 6 months. This rule is intended so that you can focus on one mentee at a time and for you to be able to give a few hours a week without it overwhelming you with work.

    After 6 months, can I re-enroll for a second mentoring? icon

    That is possible! When concluding a duo, we always ask you to fill in an evaluation form. On this form you can already tick that you are interested in taking on a new mentee. 9 out of 10 mentors repeat the experience.

    What if i don’t get along with my mentee? icon

    If a conflict arises during the mentoring period or you feel uneasy in your duo, feel free to contact your coordinator and tell him/her. We will then try to find a solution so that everything goes as smoothly as possible. If however you still don’t get along, we will put an end to your duo and we will put you in contact with a young person with whom agreement is possible.

    Will I be paid? icon

    As a volunteer, you don’t get paid. However, DUO for a JOB funds entirely the obligatory training each mentor has to follow.
